How To Get Started With SharePoint

5 Key Things To Know

Organizations use SharePoint in a variety of different ways, and SharePoint itself can encompass a great number of capabilities, making it highly customizable to fit your organization’s needs. However, at its most basic level, here are 5 things that you need to know to start using SharePoint.

Tip #1: How to Upload Files.

It’s easy to drag and drop files from your computer into your SharePoint document library, and there are two ways you can upload files.

The Simple Way:

1) Open the SharePoint folder to which you'd like to add a document.

2) On your computer, open File Explorer.

3) With your mouse, drag and drop the file from File Explorer to SharePoint.

The Alternative Way:

1) Click "Upload" in the SharePoint folder wherever you want to upload a document.

2) Click "File" in the pop-up box, then select the file(s) you would like to upload and click "Open."

Tip #2: Opening Documents.

When using SharePoint Online, you can just click on the document name to open it. It will launch in Microsoft Office Online. You may either edit online (just start editing) or click "EDIT IN WORD" to open the document in Microsoft Word and edit directly in the application.

Tip #3: Collaborating with Others on a Document.

Collaborating on a document with your coworkers is a breeze with SharePoint. In the top right-hand corner of your screen, when you open a document, you'll see the number of individuals who are actively working on it with you.

You can view the changes being made in real-time, as well as the author who is making the changes when numerous persons are making changes to the document at the same time.

If you want to invite someone to edit the document, simply click the "Share" button and the document will be easily shared.

Tip #4: Searching for a Document

The search function in SharePoint Online is simple to use and makes finding your documents as easy as searching for an email in Outlook or a file on your computer.

You can use either the "Search this site" search box inside the upper right-hand corner of your SharePoint site or the "Find a file" search box above your list of folders/documents to search for something in SharePoint.

"Search this Site": This option searches your entire SharePoint site for the keyword(s) you've typed, and it pulls the search results from file names, metadata, and the text inside Office and read PDF files.

"Find a File": This option searches your whole SharePoint site for the keyword(s) you typed, retrieving results from file names, metadata, and text within Office and accessible PDF files.

Some tips:

If you want accurate results, surround your search keywords with quote marks. If you're not sure what you're looking for, try a "wildcard search" by typing the first few letters of the word you're looking for followed by an asterisk (for example, Shar* or Mic*).

Tip #5: Copying and Moving Files and Folders

You can move or copy files in a variety of methods, depending on the version of SharePoint you're using.

Copying Files:

1. Choose the items you wish to copy and then click "Copy to." You can select the folder where you wish the information to be copied under "Choose a destination." Don't see the place you wish to go to? To see the full list of sites to which you can copy, go to "Browse sites." To finish the copy, click "copy here."

Moving Files

To move files, go through the same procedures as before, but instead of clicking "Copy to," click "Move to."
